When someone leaves, their logins should leave too
When an employee walks out for the last time, what can they still log into on Monday?
When an employee walks out for the last time, what can they still log into on Monday?
For a lot of small businesses, the honest answer is: plenty. Email. Accounting. The shared drive. Maybe the bank portal. Not because anyone meant to leave the door open — because nobody owned the checklist to close it.
Do this while you still have time to plan it. Make one offboarding list and use it every time: disable email and computer accounts, change any shared passwords they knew, pull them off the password manager, recover company laptops and phones, and remove their access to accounting, payroll, and customer records.
Do it the same day. Not next week, not when you get around to it. Most ex-employees will never use that access — that’s not the point. You don’t lock your office at night because you expect a specific person to rob you.
Ten minutes with a checklist beats finding out six months later that a former employee still has your customer list.
